Perry CPS/CAP brought the meeting to order. She thanked the staff from Heifer International for the tour of the building and
particularly, Wanda Butler, for coordinating the tours and meeting for this month.
We
viewed a video entitled “Women Farmers in Tanzania,” which profiled a particular woman who was assisted by Heifer
and showed how it has affected her life.

- Linda Myers welcomed everyone to the meeting. Linda then introduced Dina Gonzales CPS who presented our special guests, MSgt Brock
Gonzales (Dina’s husband) and SSgt Chris Maxwell.
- MSgt Brock Gonzales and SSgt Chris Maxwell came to our meeting to deliver a personal thank you
from the troops in Iraq who received Christmas
cards and packages from our chapter for the holidays. These packages included
many small items, books, handheld video games (some donated by Donna Lewis’ church), and personal packages of coffee
donated by Biff’s Coffee in Jacksonville.
- MSgt Brock Gonzales and SSgt Chris Maxwell presented CAC IAAP with a flag, which was flown in
support of Operation Iraqi Freedom, and a certificate signed by Captain Matthew “Nails” Acer. These items were presented in appreciation and recognition of the support from CAC IAAP during the 2007
Holiday Season. The certificate reads as follows:

This Certificate is Presented to the International Association of Administrative Professionals Central Arkansas Chapter
This is to certify that on 13 December 2007 this flag was flown during a mission in support
of Operation Iraqi Freedom. It was flown in a Lockheed Martin Block 50 MMC F-16CJ Viper, tail number 91-1343, for 3.9 hours
over Iraq and supported coalition destruction
of enemy forces. Aircraft was combat refueled by Airman First Class Shaun Brodin stationed from Little Rock AFB, Arkansas.

Linda Myers introduced
the speakers, Teresa Tidwell CAP and Anita Rowe. They presented a very
informative presentation on “Getting the Most out of Microsoft Office and Outlook 2007”.
Teresa and Anita
talked about changes in Outlook/Word/Excel/PowerPoint –
- Teresa shared with us that most changes are in the ribbon spanning the top of each document. Anita
demonstrated each concept covered by projecting sample documents on a screen.
- Attached is a copy of the presentation.
- The presentation was done in a professional manner and the group responded with many questions
for the presenters.

Lunch was excellent.
This was the first time for some of our members to eat at Benihana’s. We all enjoyed seeing the chef cook our food right
in front of our eyes.
Those who wanted
to participate exchanged Christmas ornaments. A beautiful array of interesting ornaments was exchanged by playing a simplified
version of “Dirty Santa”. Wanda wished everyone a Merry Christmas and a Happy New Year. We hugged and went our
separate ways.

Ms. Nalley asked
the group some ways we, as administrative staff, communicate with our managers. The “Making it Click” survey said
94% of managers and 84% of administrative professionals said communication was either good or excellent.

Aside from the quality
of communication, the survey also examined the methods managers and administrative professionals use to interact. Both sets
of respondents said managers primarily connect with staff in person (55 percent of administrative staff and 73 percent of
managers). Nearly 60 percent of both groups said their reliance on electronic communication has increased over the past two
years.
The Right Resources
to Manage Growing Workloads
Somewhat surprisingly,
managers (91 percent) and support staff (83 percent) agreed workloads assigned to administrative staff are manageable. At
a time when people are expected to contribute more and more, this finding may indicate that managers are aware of the potential
hardship overwork can cause their teams.

Indeed, administrative
professionals in the survey generally felt they have access to the right resources and tools to do their jobs efficiently.
Fifty-four percent of managers and 44 percent of support staff strongly agreed that adequate office resources were provided.
And, 42 percent of managers and 39 percent of administrative staff felt strongly that they provided or had access to sufficient
educational and training resources.

and Personal Priorities
Further contributing
to respondents’ job satisfaction is their appreciation of company efforts to help administrative staff achieve a healthy
work/life balance. Ninety-three percent of managers and 84 percent of support personnel said they foster or experience a workplace
that makes it easier to balance work and home responsibilities.

Greater schedule
flexibility typically results in increased job satisfaction. If flextime arrangements are not feasible, administrative professionals
can still benefit from increased freedom within their daily routines, such as time on occasion to run personal errands during
the business day or the option to take extended lunch hours when schedules permit.
The Key Role of Recognition
Administrative Professionals
Week (APW) is an occasion for managers to thank support staff for their efforts through the year. Forty-three percent of administrative
survey respondents said they are recognized at this time. But as important as APW is, the best managers show their appreciation
all year long.

According to 63 percent
of supervisors in the survey, communicating staff’s accomplishments to upper management was second only to a personal
meeting as a way for managers to show their appreciation. But managers may not be letting their staff know they’ve put
in a good word. Only 27 percent of support personnel said a report to the supervisor’s boss was the manner in which
they had been recognized in the past year.

For the most part,
managers and assistants agreed on the personal qualities most important for success as an administrative professional. There
was little disparity, for example, in how respondents viewed the importance of diplomacy, listening skills, and trustworthiness.

to initiative (44 percent) and punctuality/dependability (35 percent) as their top qualities, support teams felt organizational
skills (69 percent) and communication skills (42 percent) were key.
Broadening Roles
Offer Increased Challenges
How administrative
professionals can gain more responsibility:
- Request taking over a task on a trial basis. If you do it well, your supervisor might make it
a permanent responsibility.
- Explore the range of assignments given to other support staff in the company and discuss with
your manager how you might be able to take on those duties. If a precedent exists, it will increase your chances of securing
the assignment.
- Take the initiative to perform small tasks even if they don’t seem important at the time.
By doing something better, faster, or more cost efficiently, you demonstrate the full value of your contributions.
- Pursue certification in a particular software application or process. This shows you are committed
to your career and proves to manager that you want to grow professionally.
Making It Click With
More Than One Supervisor
Tips for administrative
professionals transitioning into multiple-manager arrangements:
- Be solution-oriented.
Do not expect your managers to know when things are amiss. If you feel overextended, identify where problem lies and devise
a solution.
- Seek support. When faced
with a challenge, solicit advice from trusted peers, mentors and professional contacts that are or have been in the same situation.
- Think positive. While
supporting several supervisors may sometimes be challenging, remember the long-term benefits to your career. The more personalities
you encounter, the more likely you‘ll become a master multitasker and communicator, and the more insight and career
guidance you’ll receive.

· Stephanie Floyd spoke on “The
Seven Steps to Success”. Stephanie listed her job experience at Arkansas Blue Cross and Blue Shield (ABCBS) and spelled
out what Success means to her. She started off with a survey of 500 women and
what 40% of those women wanted out of life. Then she talked about being honest
with ourselves and having compassion for others.

· During Stephanie‘s speech,
Teresa Tidwell shared an experience she had with a job interview at ABCBS. She wanted the job and it was perfect for her,
she had all the qualifications, and had an awesome interview. She was hurt when she did not get the job, it was given to someone
with less tenure, someone named Stephanie Floyd (whom Teresa had never met and knew nothing about). Now, after meeting Stephanie,
Teresa can understand why Stephanie got the job—she really was more qualified!
Stephanie ended her speech with a motivational reading by Ralph Morrison
and a scripture, “And we know that all things work together for good to them that love God, to them who are called according
to His purpose.” Roman 8:28.

Welcome Letter from Wanda:
At the recent International Convention
and Education Forum in Tampa, Florida, the newly installed international President,
Judy McCoy CPS/CAP, launched her theme, “Forward Moving”. She emphasized the importance of “branding for
IAAP and the value of maintaining continuity of branding throughout the organization. In keeping with the International President’s
theme, the Arkansas-Oklahoma Division President, Jamie Watson CAP, has launched the division theme, “Join the Journey . . . Success Through IAAP”.
Without hesitation, CAC IAAP is
off and running, eager to travel with the A-O Division and International toward our collective and individual professional
goals.
Throughout this year we will pause
on our journey long enough to pick up others who are ready to travel. New members will add excitement, fresh ideas, and energy
to help us proceed on our journey. Studying for certification will stimulate minds and will set in motion a new level for
careers. Forming relationships with other IAAP members will generate strength and support both professionally and personally.
Would you like to make connections
with others who are traveling? Then, may I invite you to “Come . . . ride with
me and CAC IAAP”!
